The challenge
Commercial work in professional services depends on two kinds of evidence that rarely live in the same place. Narrative evidence — capability statements, previous proposals, methodology notes, case material, contractual terms — accumulates in document repositories, shared drives and mailboxes. Quantitative evidence — pricing, pipeline, utilisation, deal history — sits in spreadsheets and reporting systems owned by other teams.
Assembling a single credible answer therefore involves several disconnected activities:
- Searching multiple repositories for the passage that supports a claim.
- Reconciling versions of the same document to establish which one is current.
- Re-keying or re-checking figures that were calculated somewhere else.
- Relying on an individual's memory of where an answer was found last time.
The cost is not only time. It is the difficulty of showing where a commercial claim came from, and the risk that a proposal is built on material that was never approved for reuse. When research, analysis and authoring are separated, each handoff introduces another opportunity for the evidence and the wording to drift apart.
Core capabilities
SynapseDesk is built as a single assistant-led environment covering four connected activities.
Source ingestion
Teams upload the commercial documentation and tabular sales data they intend to work from. Ingestion is the entry point to the workspace and determines the boundary of what the assistant can legitimately draw on: the knowledge available to a user is the knowledge that has been supplied and approved, not the open web.
Grounded research
Users ask contextual questions in natural language and receive responses grounded in the ingested knowledge, with relevant supporting information attached. Grounding is the central design choice.
Controlled data analysis
Analytical work is deliberately bounded. Users run controlled queries and comparisons over sales data rather than open-ended manipulation, which keeps the analysis inside defined question types and reduces the risk of figures being reshaped without a record. This is a narrower capability than a general-purpose analytics tool, and that narrowness is the point: the workspace supports the comparisons a commercial team actually needs when qualifying an opportunity or assembling a proposal.
Document production
From the same environment, teams draft structured client documents and reporting outputs, including Word deliverables. Because drafting follows research and analysis rather than running alongside them in a separate application, the material a user has just reviewed is the material available to write from.
How it works
the workflow follows a single thread from question to deliverable.
- Prepare the source set. A team uploads the approved documents and tabular sales data relevant to a pursuit or account, establishing what the assistant may draw on.
- Ask the question. A user poses a contextual question — for example, which prior engagements demonstrate a particular capability, or how a proposed rate compares with comparable work.
- Check the grounding. The response arrives with supporting information, and the user reviews the underlying passages rather than accepting the answer at face value.
- Test the numbers. Where the question turns on figures, the user runs a controlled query or comparison over the sales data to confirm the position.
- Draft the deliverable. The user moves into document production and drafts a structured client document or reporting output in Word, drawing on the material just reviewed.
- Review and release. A person approves the output before it leaves the organisation. The workspace supports the work; it does not replace commercial judgement or sign-off.
Keeping these steps in one environment is what distinguishes the platform from a stack of separate search, spreadsheet and authoring tools. The value is continuity: the evidence, the analysis and the wording stay in view of one another.
Business value
By connecting narrative knowledge and commercial data, SynapseDesk helps teams research accounts, examine comparable work and create consistent client-ready materials with clear links to supporting information.
